Look, we're not a tech company trying to sell your data to the highest bidder. We're a gym. We collect info because we need it to run the place and make sure you're getting the best training experience possible.

At HX Citadel Fitness, we take your privacy seriously. This policy explains what info we gather, why we need it, and how we keep it safe. We're based in Vancouver, BC, Canada, so we follow all Canadian privacy laws including PIPEDA (Personal Information Protection and Electronic Documents Act).

Bottom line: we're not gonna spam you, sell your details, or do anything sketchy with your personal info. That's a promise.

When you sign up or interact with us, here's what we might collect:

Personal Identification Info
  • Name, email address, phone number
  • Home address (for membership contracts)
  • Date of birth (gotta make sure you're old enough to train with us)
  • Emergency contact details (safety first)
Health & Fitness Data
  • Medical history and health conditions (we need to know if you've got any injuries or conditions that might affect your training)
  • Fitness goals and current fitness level
  • Progress tracking data (weights lifted, times, PRs, etc.)
  • Body composition measurements if you opt in for those services

  • Class attendance records
  • Facility access logs (when you check in)

We're not collecting this stuff just for fun. Here's what we actually do with it:

  • Manage your membership: Process payments, track attendance, send you renewal reminders
  • Keep you safe: Your health info helps our trainers design programs that won't get you hurt. If something goes wrong, we've got your emergency contact on file
  • Improve your training: Track your progress, adjust your programming, celebrate your wins
  • Communicate with you: Class schedules, gym closures, special events, PT session reminders
  • Legal stuff: Contracts, liability waivers, insurance requirements
  • Make the gym better: Figure out which classes are popular, what times are busy, that kinda thing

We'll only use your info for these purposes unless you give us permission to do something else with it.

We take security pretty seriously - probably more than we take rest days.

Where We Store It

Your data is stored on secure Canadian servers. We don't ship your personal info overseas unless absolutely necessary (like payment processing), and when we do, we make sure those companies follow strict privacy standards.

How Long We Keep It

We'll keep your data as long as you're a member and for 7 years after you leave (Canadian tax law requires us to keep financial records). After that, we'll securely delete everything unless there's a legal reason to keep it longer.

We work with a few other companies to keep things running smooth. Here's who might see your info:

Payment Processors

We use trusted payment processors to handle your credit card info. They're PCI compliant (that's the security standard for payment cards), and they don't share your data with anyone else.

Email & Communication Tools

We use email marketing platforms to send you updates and newsletters. You can unsubscribe anytime - there's a link at the bottom of every email we send.

Scheduling & Booking Systems

Our class booking system stores your name and attendance records. It's secure and Canadian-based.

Analytics Tools

We use website analytics to see how people use our site. This data is anonymized - we can't tie it back to you personally.

All these companies are required to keep your info private and can't use it for their own purposes. We've got contracts with 'em to make sure they follow the rules.

It's your data. Here's what you can do with it:

  • Access: Ask us what info we've got on you. We'll send you a copy within 30 days.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to delete your data? We'll do it (except for stuff we legally have to keep, like financial records).
  • Portability: Ask for your data in a format you can take elsewhere.
  • Withdraw consent: Change your mind about something you agreed to? No problem, just tell us.
  • Object: You can object to certain uses of your data (like marketing).

You can also opt out by emailing us or updating your preferences in your member portal.

Our programs are designed for adults (18+). If you're under 18, we'll need a parent or guardian to sign off on your membership and provide consent for us to collect your info.

We don't knowingly collect data from kids under 13 without parental consent. If we find out we've accidentally collected info from a kid, we'll delete it right away.

Parents or guardians can request access to their child's data or ask us to delete it anytime by contacting us directly.

Look, things change. Privacy laws get updated, we might add new services, or we might find better ways to protect your data.

If we make any significant changes to this policy, we'll let you know by:

  • Posting the updated policy on our website with a new "Last Updated" date
  • Sending you an email if the changes are major
  • Posting a notice at the front desk

We recommend checking this page every now and then to stay in the loop. Continuing to use our services after we post changes means you're cool with the new policy.
